Terms of Service

1. Acceptance of Terms

By accessing or using ReceptFlow ("the Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. These terms apply to all users, including business owners and their customers who interact with the AI receptionist.

2. Description of Service

ReceptFlow provides an AI-powered receptionist platform that helps local service businesses qualify leads, answer customer inquiries, and book appointments through an embeddable chat widget. The Service may include integrations with third-party platforms such as Google Calendar.

3. Account Registration

  • You must provide accurate and complete registration information.
  • You are responsible for maintaining the security of your account credentials.
  • You must be at least 18 years old to create an account.
  • One person or business may not maintain multiple free accounts.
  • You are responsible for all activity that occurs under your account.

4. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable laws or regulations.
  • Send spam, unsolicited messages, or misleading content through the AI receptionist.
  • Impersonate another person or business.
  • Attempt to gain unauthorized access to the Service or other users' data.
  • Use the Service for any illegal, fraudulent, or harmful purpose.
  • Interfere with or disrupt the Service's infrastructure.

5. AI-Generated Content

The AI receptionist generates responses based on the business information you provide and customer inputs. You acknowledge that:

  • AI-generated responses may not always be accurate or complete.
  • You are responsible for configuring the AI with correct business information.
  • The AI does not provide professional advice (legal, medical, financial, etc.).
  • You should review conversation transcripts to ensure quality and accuracy.

6. Google Calendar Integration

If you connect your Google Calendar to ReceptFlow:

  • You authorize us to read your calendar availability and create events on your behalf.
  • You are responsible for ensuring your calendar accurately reflects your availability.
  • Appointments booked through the Service are your responsibility to honor or reschedule.
  • You may disconnect the integration at any time from your dashboard.

7. Data Ownership

  • Your Data: You retain ownership of all business information, lead data, and conversation content you create through the Service.
  • License to Us: You grant us a limited license to use your data solely to provide and improve the Service.
  • Export: You may request an export of your data at any time.

8. Payment & Billing

  • Paid plans are billed in advance on a monthly or annual basis.
  • All fees are non-refundable except as required by law.
  • We reserve the right to change pricing with 30 days' notice.
  • Failure to pay may result in suspension or termination of your account.

9. Service Availability

We strive for high availability but do not guarantee uninterrupted service. We may perform maintenance, updates, or modifications that temporarily affect availability. We are not liable for any downtime or data loss resulting from circumstances beyond our reasonable control.

10. Fair Use Policy

ReceptFlow plans include generous conversation allowances designed to support typical business usage. To ensure quality of service for all customers, the following fair use guidelines apply:

  • Starter plan: Up to 500 AI conversations per month (hard limit).
  • Pro plan: Up to 5,000 AI conversations per month (soft limit).
  • Business plan: Up to 15,000 AI conversations per month (soft limit).

Pro and Business plans are never hard-blocked. If you approach or exceed your soft limit, we will notify you via email and may reach out to discuss your usage and recommend a plan that better fits your needs.

We reserve the right to contact businesses whose usage significantly exceeds the fair use guidelines to discuss appropriate plans. Abusive or automated usage that is not associated with legitimate business operations may be throttled or suspended.

11. Limitation of Liability

To the maximum extent permitted by law, ReceptFlow and its affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities, arising from your use of the Service. Our total liability shall not exceed the amount you paid us in the 12 months preceding the claim.

12. Indemnification

You agree to indemnify and hold harmless ReceptFlow from any claims, losses, or damages arising from your use of the Service, your violation of these Terms, or your violation of any third-party rights.

13. Termination

  • You may close your account at any time from your dashboard settings.
  • We may suspend or terminate your account for violation of these Terms.
  • Upon termination, your right to use the Service ceases immediately.
  • We will retain your data for 30 days after termination to allow for export, after which it will be deleted.

14. Changes to Terms

We reserve the right to modify these Terms at any time. We will notify you of material changes via email or through the Service at least 14 days before they take effect. Continued use of the Service after changes constitutes acceptance of the new Terms.

15. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Delaware, United States, without regard to conflict of law principles.
